Onscreen Filter, Sort, and Report
Does the school board need the exact status of program within a
fund? In AptaFund this information can be delivered immediately by
simply opening the General Ledger screen, aggregating by fund, filtering by
the program account, and printing the results. The option is also
available to generate the data into a Microsoft Excel spreadsheet. This powerful reporting feature is available in
every screen throughout the system.

AptaFund is a fully integrated, multi-user system.
Accounting functions such as payroll, accounts payable and asset management are separated into
fully integrated modules that share a common user interface and database.

Anytime, Anywhere Access
AptaFund can be fully accessed through a standard web browser (Microsoft Internet Explorer V5.0 or higher)
for anytime, anywhere flexibility—from the office, school or home.
AptaFund Web extensions, such as Web Purchasing, are native HTML applications that follow the standard web application look and feel.
Users connect to the full system, which provides a grid-based rich user interface via Microsoft Terminal Services over the Web.
Electronic Reporting
AptaFund provides data export files that meet the electronic reporting requirements of various governmental entities and financial institutions.
Predefined and Custom Reporting and Templates
AptaFund includes extensive reporting in every module. Select from predefined reports or create and save custom reports.
By defining screen filters and sorting the data, the types of reports that can be generated are unlimited.
All reports can be printed or seamlessly exported to Microsoft Excel for further analysis, charting and graphing.
Reports can also be published in HTML for distribution via the Internet.
All AptaFund templates (checks, warrants, pay stubs, employee contracts, purchase requisitions, purchase orders, etc.) are Microsoft Word templates that allow for easy customization and district personalization.
AptaFund Security
AptaFund offers multilevel security to safegaurd your financial data.
Access to the database is strictly controlled using the Windows NT security system in conjunction with the SQL Server security system.
In addition, all transaction details (who, when, and where) are logged, providing a comprehensive audit trail.

Operational Security - User domain logins are selected and assigned appropriate security levels based on their roles in AptaFund, as defined by a district's business processes.
Predefined and customizable roles limit user access to functions within each module.

Account Code Security - Restrictions can be placed on the account codes users will see and have access to. These restrictions are for all users, regardless of their Operational Security Level roles.

Element Value Restrictions - Control access to the Chart of Accounts by restricting codes that may be used within a module.

Total Accountability and Streamlined Audits
AptaTrace™ technology allows you to follow a transaction throughout the AptaFund system from its source to the General Ledger and back again.
Transactions can also be traced from screen to screen as they progress through the system.
AptaFund does not allow one-sided entries and posted transactions may not be deleted.
These capabilities, combined with the ability to provide your auditors with remote, view-only access to AptaFund, can streamline your audit process, saving time and expense.

Fiscal Year End Rollover
AptaFund takes the hassle out of the fiscal year end rollover.
Exclusive Account Mapping technology allows you to easily update the elements and account codes as required when you roll over the chart of accounts,
automatically propagating any changes throughout AptaFund in the new year. Work in both fiscal years as needed until closing and opening entries are generated.
Open Architecture
AptaFund uses an open architecture and interfacing with other systems can be accomplished with a variety of commercially available tools.
The database is ODBC (Open Database Connectivity) compliant.
GAAP and GASB 34 Compliance
AptaFund is fully compliant with GAAP and GASB 34 requirements.
Easy to Use and Easy to Learn
The AptaFund user interface is completely graphical and follows the Microsoft Official Guidelines for User Interface Developers and Designers.
AptaFund does not include any character based or command line user interfaces.
Can't Remember the Account Code?
AptaFund's Account Code Assistant, available in all modules, will help you find the right account code whenever you are entering transactions. Allocating across multiple funds is also easy with AptaFund.
The system automatically calculates (by percentage or amount—your choice) the remaining allocation.
